Manage workspace data

The Settings → Data page is the Admin’s control panel for the data behind your workspace. It holds the Items you’ve archived, surfaces the Restricted Items even an Admin can’t otherwise see, and offers a single destructive action to clear the workspace and start over. Everything on this page is Admin-only.

Archive and restore#

Archiving takes an Item out of circulation without deleting it. The Item drops off every view—Dashboard, Overview, Portfolio board, Team board, Roadmap, and Hierarchy map—while its value, history, comments, and links stay intact. You archive an Item from its row or detail menu, and you restore it later in one step from here.

Archiving acts on one Item at a time. Children are not archived along with their parent—archive each one you want gone. Restoring an Item returns it to the active views under its original parent, or as a top-level Item if that parent no longer exists.

Open Archived items on the Settings → Data page to see everything you’ve archived. Each row shows the Item and its archive date, and a row menu offers Restore to bring it back or Delete permanently to remove it now.

Archive retention and cleanup#

An archived Item is not kept forever. After 90 days, Strategy Hub permanently deletes it. Until then it stays fully recoverable with Restore.

Heads-up — once the 90 days pass, the Item is gone for good and only a breadcrumb in the audit trail remains. Restore anything you might want back before then.

Restricted Items registry#

A Restricted Item’s content can be hidden from an Admin, but its existence never is. The Restricted Items registry lists every Item the current viewer can’t see, each by key and Type, with an Emergency access action on its row.

This is the discoverability complement to Custom access. An Item can be locked down, but an Admin can always find that it exists and, if they need to, grant themselves in. See Access and permissions → Emergency access for exactly what the action does.

Wipe the workspace#

Wipe installation, in the page’s Danger zone, is the full reset. It permanently deletes all data—every Item, but also your Types, Statuses, Teams, and settings—and returns Strategy Hub to its initial setup screen. Nothing is spared, and nothing comes back.

Because it can’t be undone, the confirmation makes you type the word WIPE before the button activates. Reach for it only when you mean to start completely over: clearing evaluation or trial data before a real rollout, or resetting a sandbox instance.

Audit trail#

Strategy Hub records every change to an Item—value updates, Status changes, ownership and Team changes, Label edits, archive and restore, access changes, and Emergency access grants. You read this history per Item, in the History tab of its detail view.

Emergency access grants are recorded here like any other change, but quietly—the entry lands in the history with no notification sent to anyone. This trail is what makes Emergency access safe to offer: nothing an Admin does to a Restricted Item goes unlogged.
